Gift Administrator: Major Gifts - Toronto, Ontario

Purpose and General Description

Taking care of our environment has never been more important than it is today.  The Nature Conservancy of Canada (NCC) is looking for a Gift Administrator: Major Gifts to join a team committed to protecting our most important natural areas and the plants and animals they sustain.

The Gift Administrator: Major Gifts is responsible for:

  • ensuring revenue (cash and non-cash) from Major Gifts source is processed timely and with accuracy,
  • supporting Senior Manager, Database & Gift Administration and Compliance in respect of the development of business practices with Marketing & Development and implementation of data and gift entry procedures related to new fund raising initiatives as well as updating existing initiatives to ensure completeness and accuracy of gift and non-gift revenue,
  • providing revenue data from Raiser’s Edge (RE) for internal KRI reports and Annual Charities Return (T3010),
  • complete understanding of internal Policies and Procedures related to gift processing and external compliance requirements such as PIPEDA, PCI DSS, Income Tax Act and CRA

Duties and Responsibilities

1. Gift Administration

  • In charge of data entry, gift processing and receipting of all Major Gifts that include National and Regional revenue ensuring accuracy and timeliness, and ensuring appropriate documentation to support the gifts for financial tracking and reporting, CRA compliance and internal use by NCC Marketing & Development teams across the country.  This includes outright single gifts, pledges, and pre-authorized recurring gifts (gifts and non-gifts) from:
  • Regional offices and National business units,
    • Internal Donation Forms,
    • Third party service providers,
    • NCC corporate SharePoint portal
  • To ensure all information provided on Revenue forms are accurately entered and necessary pertinent documents are in place before they are entered in RE.
  • In charge of recording non-cash donations (Land and Conservation Agreement donation, Gift In Kind, and Stock donations) which requires specific due diligence.
  • Ensuring both external and internal policy requirements are met in respect of gift receipting and tracking.
  • Provide CFO with revenue reporting on a monthly and ad hoc basis.
  • Provide data from RE to the Controller, Corporate Accounting for our annual T3010 Charities Return.
  • In charge of preparing various revenue files for annual audit.
  • In charge of re-issuance of tax receipts related to Major Gifts donations.
  • Ensuring daily reconciliations of revenue data recorded in RE and FE are completed and discrepancies resolved.
  • Updating of procedure manuals including Data entry guide and Gift entry manual.
  • Provide data and gift entry training to new Gift Administration staff as required.
  • Provide training to new non National Finance staff on revenue form preparation.
  • In charge of quarterly unpaid matching gift payments reports distribution for Moves Managers and Supporter Services team.

2. Other support functions

  • Assist Senior Manager, Database & Gift Administration and Compliance as required.
  • Assists Direct Mail gift processing as required.
  • Assists Treasury team with reconciliations required to ensure day receipts align with bank records and also monthly or annual reconciliations required by external auditors.
  • Assists in processing online and monthly pre-authorized processing as required.
  • Assists National and Regional staff as required.
  • Assists in overseeing volunteers or temporary staff.
  • Assists with general administrative duties as required.
  • Working with staff from other business unit (s) to improve and gain efficiencies in daily processes
  • Assists National and Regional staff as required.
  • Assists with general administrative duties as required.
  • Assist in the annual audit preparation

Required Skills and Attributes

  • University degree or equivalent
  • 3-4 years of data and gift entry experience
  • Accurate and efficient data entry skills
  • Strong organizational and time management skills
  • Excellent written and verbal English communication skills
  • Financial acumen, proficiency with Microsoft Office applications (Outlook, Word, Excel, and Power Point)
  • Excellent knowledge of Raiser’s Edge
  • Excellent knowledge of Canada Revenue Agency’s requirements especially on receipting
  • Familiarity with fundraising and accounting practices and procedures
  • Flexible and able to work under pressure and ability to meet deadlines
  • Experience and/or demonstrated interest in non-profit sector
  • bCRE (Blackbaud Certification in Raiser’s Edge would be an asset)
